How Document Signing Works

Unlike a standard mobile notary visit, facility-based signings require coordination with administration, security clearance, and strict compliance with institutional protocols. Here's exactly what to expect.

1

Initial Intake & Verification

Call us to discuss your logistics. You or your attorney specify the exact document required for your family member or client — such as a pre-prepared Power of Attorney, vehicle title transfer, or deed — and we will verify that the document is complete, unexecuted, and legally ready for notarization.

2

Facility Coordination

We contact the facility administration directly to confirm professional visitation windows, facility-specific notary policies, and what identification is required to access your loved one — before we ever leave the office.

3

Secure Facility Entry

We arrive during the scheduled professional visitation window, present credentials at booking, clear security, and meet with your family member or client in a designated consultation room.

4

Execution & Delivery

We verify your loved one's identity using facility-approved protocols, administer the oath, notarize the signature, apply our notary seal, and promptly deliver the executed document to you.

Documents We Commonly Execute

Every situation is unique. These are the documents families and attorneys most frequently need notarized inside facilities:

Power of Attorney

General, limited, durable, or medical POA. The most common document needed — allows a family member or attorney to handle legal, financial, or medical decisions while the individual is in custody.

Property & Real Estate Deeds

Warranty deeds, quitclaim deeds, and property transfers. Often needed to liquidate assets for bail collateral, legal fees, or to transfer ownership during incarceration.

Vehicle Title Transfers

VTR-346 and related Texas DMV forms. Needed when a vehicle must be sold or transferred to cover legal expenses or when a co-owner needs full title while the other party is in custody.

Child Custody & Guardianship

Authorization for temporary guardianship, custody agreements, and parental consent forms. Critical when a parent is in custody and a relative needs legal authority to care for children.

Financial Affidavits & Asset Transfers

Sworn financial statements, securities transfers, and bank authorization forms. Required when the individual needs to access or transfer financial assets to fund their defense or support dependents.

What Families Need to Know

We understand this is a stressful time. Here's what you should prepare before contacting us:

Critical Requirements

  • Identification is essential. The individual signing must have an acceptable form of ID. For county facilities, their booking ID badge often works. For federal facilities, a BOP ID card is required. We verify these logistics with the facility before the visit.
  • The signer must be willing and coherent. A notary cannot notarize for someone who is sedated, unconscious, or unwilling to sign voluntarily.
  • Documents must be pre-printed. There are no printers or copiers available inside facilities. Every document must be printed and ready before we arrive.
  • No electronics allowed inside. Phones, smartwatches, and recording devices must remain outside the secure area. We bring only the document package, notary stamp, journal, and an approved pen.

What You Need to Provide

  • 1. The individual's full name and booking number. We need this to coordinate access with the facility.
  • 2. The exact facility name. Bastrop County Jail, FCI Bastrop, Travis County, etc. — different facilities have different protocols.
  • 3. The completed document. We notarize signatures — we do not prepare legal documents. Have your attorney or legal aid service prepare the document first.
  • 4. Payment before the visit. Due to the nature of institutional signings, our travel fee must be secured before we arrive at the facility.
